Changing the Pay Period on a TP400 Calculating Time Recorder

Introduction

The Pay Period refers to the total time staff work within their payment cycle. So for the TP400 this can be either Weekly, Monthly, Bi-weekly (2 weeks) or Semi-monthly (half a calendar month). To make changes to the pay period you must ensure that there are no cards clocked in the machine. If there is as little as one card clocked then the change will not be possible and an error message E40 will be displayed. The instructions here refer to Weekly and Monthly pay periods only, but the procedure is similar for Bi-weekly or Semi-monthly.


Checking if Cards are Clocked in

1, To check if any cards are clocked in firstly remove the lid with the key. The display will show the time with the hour flashing.


2, Each of the 4 buttons will now have access to the program features. Looking just above the buttons will show these as Function, +, - and Enter as shown below. 


 


3, Press the Function & - buttons together, as shown below




If the display shows dcn – 00 then the machine has no cards clocked and you may proceed to step 10.


Deleting the Clock Cards


4, If the display shows a number higher than 00 then there are cards clocked in the machine and these will have to be erased to make the changes to the pay period. Please note that there is a limited time of a few seconds to make changes while carrying out this procedure. If there is too long a delay between pressing buttons then the machine will return to the previous display. If this happens then simply repeat the operation again.


5, Assuming the time is showing with the hour flashing then press the Function & - buttons together.


6, Press (and release) the + button and then press (and release) the button.


7, The display should show dc – ALL as shown below. 


 

8, Press Enter. 


9, The display should return to the time again. All cards have now been deleted from the machine.


Changing the Pay Period


10, Press the Function button 3 times. The arrow at the top of the display should now be under Print Format as shown below.



11, Press the Enter button and the middle digit will flash.


Changing to a Monthly Pay Period

Note, for weekly go to step 15


12, To set the pay period to monthly use the button to set to 01 and the press Enter. 


13, The right digit should now be flashing 31. If a normal calendar month pay period is required e.g. running from the 1st through to the end of the month then press Enter. If a different pay ending day is required then use the + or buttons to set this and press Enter. E.g. for a pay ending date of the 25th then the display would read 01 01 25.

 

 


14, The screen will go blank and the lid can now be replaced and locked. The pay period is now set to monthly.


Please note that new cards will have to be issued.


Changing to a Weekly Pay Period


15, To set or adjust your weekly pay period the middle digit needs to be set to 2


16, Press Enter


17, The final digit setting will depend on which pay ending day you require and also which day is 'today'.

So for example if today is Monday and your pay ending day is Sunday then you would set this digit to 6, as that is the number of days until your pay ending day. If today is Tuesday then this digit would be set to 5, and so on. Please also note that your pay ending day is always the day before the first day of your pay cycle. So for example If staff work Monday to Friday, your pay ending day would be Sunday (not Friday).


18, Once you have set the correct digit on the right press Enter 


19,  The screen will go blank and the lid can now be replaced and locked. The pay period is now set to Weekly. 


Please note that new cards will have to be issued.
